Before you begin
Ask participants before recording. For a pilot, use notes you are authorised to share and give the assistant a small output template: decision, action, owner, deadline and unresolved question. An assistant can mistake a suggestion for an agreement. Have the meeting owner confirm commitments before distributing the summary. Keep the original notes available for corrections.
Turn discussion into usable notes
Consider a project meeting about a website launch. One person suggests Tuesday, another says the product photographs are not ready, and nobody approves a launch date. A useful summary records the proposed date as unresolved. It assigns the photograph check only if someone actually accepted it. Give the assistant an explicit field for no owner agreed so it does not fill a gap with the nearest speaker’s name.
Use a small correction exercise
Take one set of authorised meeting notes and prepare the action list yourself. Compare the assistant’s version against it: decisions, owners, dates and open questions. Review disagreements with the meeting chair. Note whether a mistake came from unclear source notes, missing context or an unsupported inference. Improving the original note-taking may solve the problem more reliably than extending the prompt.
Distribute an approved version
Send participants the reviewed action list and explain how to request a correction. Store the approval date with the notes. The next meeting should revisit unresolved actions rather than repeat the whole transcript.
